Virtual Assistant for Organization and Project Management
Auto ImportI’m looking for a part-time virtual assistant to help me stay organized, track tasks, and manage short- and long-term projects. I’m looking for someone who can help me maintain a clear task system, remember what needs to be done, and follow up consistently. I am a very busy academic, and often have up to a dozen long-term projects, so I am finding that stuff is just falling through the cracks, and I would love to find a long-term assistant to help me!
This role would be a good fit for someone who is highly organized, reliable, detail-oriented, and comfortable helping another person manage multiple ongoing responsibilities.
Estimated hours: 3–4 hours per week to start, with the possibility of increasing during busy periods
Location: Remote
Schedule: Flexible, but must be available for one weekly planning/check-in call and brief written check-ins throughout the week
Responsibilities may include:
Maintaining a shared task/project management system
Helping organize daily, weekly, and long-term tasks
Sending reminders about upcoming deadlines, recurring tasks, and unfinished items
Helping break larger projects into smaller, concrete next steps
Tracking progress on ongoing projects
Creating weekly planning summaries
Sending brief daily or near-daily agenda/reminder messages
Keeping a “waiting on” list for things that require follow-up
Helping prioritize tasks when there are too many competing demands
Noticing when tasks have stalled and prompting follow-up
Keeping recurring routines and deadlines visible
Occasionally helping organize documents, notes, lists, or trackers
The ideal candidate:
Is very organized and consistent
Is comfortable with tools like Google Calendar, Google Docs/Sheets, etc.
Can follow up without being intrusive or overly rigid
Is good at turning vague tasks into concrete next steps
Can help maintain structure across multiple projects
Communicates clearly and reliably
Has experience with executive-function support, project coordination, virtual assistance, academic assistance, or accountability work
This role is probably not a good fit for someone whose main experience is appointment scheduling, travel booking, errands, or general lifestyle assistance. I’m specifically looking for someone who can help with task tracking, reminders, planning, and follow-through.
