Role Overview:

We are looking for a proactive and hands-on Change & Communications Specialist to support large-scale transformation programs related to Document Management Systems (DMS) and Archiving solutions. The ideal candidate will drive communication, training, stakeholder engagement, and user adoption activities during system and process transitions.

The role involves working closely with business, HR/P&O, IT, vendors, and project teams to ensure smooth adoption of new document management and archiving processes across global teams.

Key Responsibilities

  • Develop and execute change management and communication strategies for DMS and archiving transformation programs.
  • Create engaging communication materials, training content, and user adoption plans.
  • Conduct workshops, end-user training, and stakeholder engagement sessions.
  • Support business users during transition from legacy systems/folder-based storage to structured DMS platforms.
  • Work closely with HR/P&O, business, IT, vendors, and project teams.
  • Drive awareness, readiness, and successful adoption of new systems and processes.
  • Monitor user feedback, adoption metrics, and training effectiveness.
  • Manage communication during migration, rollout, and transition phases.
  • Support project coordination, issue resolution, and escalation management.
